life for war-affected children in northern Uganda through increased access to education and provision of economic
development opportunities. Invisible Children Uganda is calling for applications from suitably qualified Ugandans to
fill the position of Executive Assistant to work in their kampala office.

JOB PURPOSE: Offer Administrative and executive support to strengthen the functionality of Invisible Children’s regional office towards efficient and effective coordination with program offices and relevant stakeholders.

Summary of Roles;
• Provide comprehensive support for executive-level staff including fixing appointments, scheduling meetings, arranging and coordinating travels/ reservations and managing all related essential tasks for the regional office.
• Responsible for maintaining records, taking minutes of meetings corresponding to both internal and external stakeholders and sharing with relevant offices.
• Receive and summaries all correspondence directed to the regional ambassador’s office and forwards them for decision making.
• Provide secretarial support involving filing, handling of top and confidential correspondences, document flow, screening telephone calls, attending to visitors and directing various queries to relevant departments.
• Responsible for drafting and providing responses to stakeholders and 1C management where delegated on decisions agreed from the ambassador’s office.
• Maintaining utmost confidentiality with sensitive and personal information,
• Be responsible for calendar/dairy management/ planning to keep both the immediate supervisor, 1C management and other stakeholders abreast with planned activities and appointments.
• Assist with preparation of presentation materials and speeches as and when requested in accordance with the theme of the functions.
• Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary
• Provide budget monitoring support and advice to the ambassador’s office.
• Provide operational support for the Regional Ambassadors office
• Any other duties as may be assigned by the direct supervisor
Requirement:

Required Knowledge, Skills, and Abilities:
• Education: A Bachelors Degree in, Secretarial studies and or any related field with advanced working knowledge of Administrative and Executive support related task.
• Experience: 5 years work experience in supporting executive management preferably with a renowned International Non-governmental Organization. The incumbent should have expert level written and verbal communication skills, strong decision making ability and attention to detail.
• Language: Very good command of both written and spoken English. Knowledge of written French is an added advantage.
• Other skills: Computer proficiency in Ms Office packages, strong Leadership, interpersonal and teamwork skills, report-writing skills, ability to use short hand.
